Kinark Child and Family Services is a leading child and youth service organization in Ontario which provides a wide range of evidence-based services that include individual, family and group counselling for children and youth with complex needs and their families.  Kinark’s three program streams include: Community-Based Child and Youth Mental Health, Autism and Forensic Mental Health/Youth Justice.

 

Syl Apps Youth Centre (Syl Apps) is a secure youth mental health facility in Oakville that can provide support for up to 48 youth at a time. Syl Apps operates three programs: (1) Secure treatment (mandated by the Child & Family Services Act—CFSA) (males and females) ;  (2) Secure detention and custody (mandated by the Youth Criminal Justice Act—YCJA) (males and females); and (3) It is also the only facility in Ontario designated to accept youth by order of the Ontario Review Board.   We are committed to providing a range of services and a high standard of care for young people and their families.

Scheduling and Staffing Coordinator

Regular, Full-Time

Job Summary:

Reporting to the Program Manager the Coordinator of, Scheduling and Staffing assumes the responsibility for the general and operational day-to-day management of the Staffing and Scheduling office. This position provides a strategic and innovative approach to standardized scheduling and staffing practices.

 

Key Responsibilities:

• To assist in the development and maintenance of master and working schedules for the facility.

• Create optimal schedules that adhere to each unit budgeted numbers

• Monitoring and putting forward recommendations for efficient staffing ratios

• To ensure the functionality and integration of the scheduling software supports the scheduling and

staffing practices of Kinark

• Will promote communication and connectedness by developing effective staffing scheduling policies

and processes in collaboration with the Program Managers and Unit Supervisors

• Responsible for the day-to-day coordination of the Staffing and Scheduling Office

• Responsible for creating overtime utilization reports

• Responsible for creating reports that track staff utilization (shortages)

• Assists Unit Supervisors with their staffing ratio

• Assists Unit Supervisors in maintaining their staffing templates

• Assist in conducting quarterly Portfolio Meetings for each unit

• May help with the maintenance of the staffing and scheduling software for all user

 

Qualifications:

• Health/ Administrative Degree preferred.

 

Experience:

• Three to five years’ experience in the development and maintenance of staff schedules

• Three to five years of leadership experience.

• Three to five years of experience in developing and maintaining master schedules.

• Experience in applying the Collective Bargaining Language to scheduling practices

• Strong labor relation skills

 

Knowledge:

• Good understanding of government policies, procedures and legislation related to health care.

• Knowledge of staffing schedules, electronic staffing and scheduling systems.

• Knowledge of teaching the technical applications of scheduling software.

• Knowledge and proficiency in the use of scheduling software.

• Knowledge of collective agreements and how it affects scheduling.

 

Skills:

• Well-developed analytical and conceptual skills with excellent ability to plan coordinate and implement.

• Well-developed organizational, prioritization and time management skills.

• Well-developed problem solving and decision making skills.

• Excellent communication and interpersonal skills

• Well-developed mediation, conflict resolution and negotiation skills.

• Well-developed diplomacy skills.

• Excellent computer skills. (Microsoft Office, Kronos)
